"Okay, Okay, I want the stone, what do I do now?

Begin by contacting us immediately at diamonds@niceice.com and let us know which one of our puppies you are salivating over so that we can set it aside for you while we work out the shipping details with you.  We generally represent diamonds that we have in our physical possession, so the odds are that we do have the diamond you see on our list, however diamonds are occasionally sent back to the cutters for physical inventory and sometimes we may forget to remove a listing, so it is a good idea to verify the availability of a diamond before sending us money.

In order to expedite the adoption and delivery of your new puppy, we will need you to provide us with the information specified below, simply email it to us at diamonds@niceice.com or use our 24 hour fax line at (503) 296-2221.  Of course, you can always pick up the telephone and give us a call at (206) 319-8152 or Toll Free at (877) 844-5443 and we'll get things started pronto!

The information that we need from you:

• Your name.

• Permanent address and telephone number for our receipt.

• Shipping address and telephone number, if different.

• Home and work telephone numbers, including extension if applicable.

• The names that you want us to use on our appraisal.

We generally ship our diamonds via Fed Ex using a special insurance binder.  Delivery is usually made by 10:30 a.m. the next business day.  Saturday delivery is available, however Fed Ex will not guarantee a delivery time for Saturday deliveries and thus we recommend that packages sent for Saturday be held at your local Fed Ex station so that you can pick it up at your convenience and not waste your Saturday waiting for Fed Ex to arrive.  We will need the following information to complete the Federal Express Airbill:

• Your name as you wish to have it appear in the "Recipient" section of the airbill.

• A telephone number where you can be reached if it is necessary for Fed Ex to contact you in order to complete the delivery of the package.  Do not use an 800 number.

• If we are to ship the diamond to your work, we will need the name of the company and your division or mail stop.  Note that we highly recommend having your package held for pick-up at a staffed Fed Ex location because our insurance ends and your liability begins the moment that your "Authorized Agent" signs for your package at work or if you live in an apartment!

• The complete shipping address, including suite number, apartment number, and zip code.

Upon receipt of your information we will begin to prepare your package for shipment and will provide you with the Fed Ex Airbill number so that you may track the progress of your package on-line at http://www.fedex.com/us   Please note that you will not be able to locate your Airbill number in the Fed Ex tracking system until we drop the package off at our local station...

If your nervous about having your new puppy shipped to your work, or are unsure of your schedule, we can arrange for a "Station Hold" so you can pick up your Medium Sized Box at the Federal Express Station nearest you .   To pick up your package you will need to tell them your name, your Fed Ex Airbill tracking number, and show them a photo I.D.  (your driver's license works well). Since we are not familiar with your area,  you'll need to tell us the address of the Fed Ex Station you wish to use.  You can find a list of Federal Express stations listed on their internet site.

Since we're not located in a major metropolitan area, the latest that we can drop off a package at Fed Ex for next day delivery is 4:00 p.m. so in order to ship out a loose diamond for delivery tomorrow, we need to have all of your shipping information and payment by noon.

Shipping via Snail Mail:

If for some reason you have an uncontrollable aversion to Federal Express we can always ship your package via good old fashioned U.S. Registered & Insured Snail Mail, but it is really, really, really, slow.  Assuming that you are card carrying members of the microwave generation like ourselves and prefer to have everything happen yesterday, waiting 5 - 10 days for your puppy to arrive via snail mail will drive you insane.  In fact, every time somebody has insisted that we use this method of shipping, they start calling on the third day complaining that the package has not arrived yet.  We want to reply "which part of it takes 5 - 10 days did you not understand?"  Duh...  However if you insist, we will happily stuff your new puppy in a small, stuffy box and send it on a two week trek across America just so you can save a few bucks at the expense of your sanity. All you have to do is provide us with all the pertinent information such as your name, address, and zip code and we'll get things going slowly. As in post office slow.  That's really S.L.O.W.  And no, weekends do not count as days.  We're talking about a service provided by the government here and with exception of Express Mail, it's slow.

The Appraisal:

We include an "appraisal for insurance purposes" along with your new puppy in hopes that you will insure it against loss, theft, or damage before you get down on one knee and your brain stops. Our appraisal will reflect our opinion of the current fair market retail value of the jewelry item so that you may arrange for adequate insurance coverage.  Note that most insurance companies will not insure a loose diamond.  Those that do seem to charge an exorbitant amount to do so.

In order to complete your appraisal, we will need to know how you would like the name(s) to appear on the appraisal. That is names plural, as in yours and hers. It's generally a real good idea to put your fiancées name on the appraisal and if we were you we'd list it first. It's a chivalry thing and it seems to go a long way with the ladies.

We strongly recommend that you schedule your jewelry item so that it is protected by your homeowners and/or rental policy for loss, theft, damage, mysterious disappearance etc. Many insurance companies refer to these policies as floaters, personal articles policies, special binders, etc.  Consider this, if one of your fiancées seven cats swallows the ring and your significant other won't let you operate, or do the "Charles Manson / Jack-the -ripper" thing, and you don't have time to hook seven cats up to little plastic bags before you leave for work, don't worry because such an event would probably qualify as a "mysterious disappearance" with your insurance company.  That is, if you have that special rider in place. Then your insurance company will be obliged to do their contractual thing and replace it with like kind and quality (based upon our appraisal) or provide you with the funds to do the same  (we know, cuz we are do replacement work and appraisals for quite a few insurance companies).  Of course, you need to determine exactly what level of protection your insurance company can offer you and talk to your agent about specific coverage options.  By the way, if your puppy is certified by an independent gemological laboratory, then a copy of the lab report will accompany the appraisal and should be forwarded on to your insurance company along with a copy of the appraisal.   After the sale is complete and you tell us that you absolutely love your new puppy and that you're going to keep him,  then we will mail the original lab cert to your invoice address unless you provide us with a different address for that specific purpose.

We recommend having the diamond evaluated and verified by a local independent GIA Graduate Gemologist.  "Independent" means that the Gemologist does not work for a jewelry store or sell diamonds.  Think of "independent" as "impartial" meaning that they have nothing to gain or lose by providing you with an honest evaluation of the diamond.  You say that you are not familiar with the independent GIA Graduate Gemologists in your area?  Not a problem, here's a List of Independent GIA Graduate Gemologists.  The Independent GIA Graduate Gemologists found on this list consist of those that our clients have recommended after using their services.  In many cases, we do not know the Gemologist personally, but are familiar with their reputation within the trade.

What will be in the box?

If we are shipping your diamond to you unmounted, then this is what you'll find in the box:

• A "Diamond is Forever" presentation card where your loose diamond will be resting comfortably.  This loose stone gift holder is about the size of a credit card and has a small hole in the center of it so that the pavilion of the diamond will rest in it's intended spot.  A clear plastic slip cover allows you to wiggle it around in the air and ogle it wondrously.  To examine the diamond "a-la-naked" all you have to do is slide the cover past the stone and he's ready for you to remove and play with. You'll find the presentation card neatly tucked inside of a  shiny black box (3" x 3" x 1") wrapped with a bow which can easily be slipped off the box so that you can take a peek.  Note: It is accepted male behavior to disassemble the box and then with great difficulty (and a few new words of potential interest to Webster's) arise with the item carefully slapped back together. Of course, to prevent  running 83 hours behind schedule, or having extra parts leftover, be sure to pay close attention as you disrobe the diamond and reverse the two steps required to successfully assemble the box.  If you're like Todd [our president, in-house diamond buyer, sales manager and web slave] you'll look at the box and slip-on bow with disgust and confusion and hand it to your valued "executive assistant" for it to all be re-assembled.

• Note that while the ring box pictured above is black, we also have white boxes and use them interchangeably.  If you prefer black over white or vice versa, please tell us at the time of order.  We recognize the fact that black boxes are considered to be taboo in traditional Indian and Asian culture.

• A collection of tools for you to play with and use to impress your friends, including a new 10x triplex diamond grading loupe so you can view the inclusions within the diamond.  A pair of slide lock diamond tweezers and/or a diamond holder will accompany your rock with no additional charge, as will a small polishing cloth so you can wipe your grimy little finger prints off of the diamond before you inspect it.  The diamond grading tools are yours to keep.

  H&A Tools	Loose Diamond

   

• Hearts & Arrows Diamonds   will be sent with a Gems Fantasy Scope and tray so that you can verify the pattern within the diamond for yourself.  We recommend you have us send you your Hearts & Arrows Diamond unmounted so you can view the pattern as it can not be viewed once the diamond has been set because the prongs will distort the pattern slightly.  Many an engagement has been made with a loose Hearts & Arrows diamond and many a fiancée has made her fiancé say "Wow!" upon seeing the pattern for herself if you know what we mean. Please use the scope to view the internal Hearts & Arrows pattern as soon as possible and send the H&A Scope via Federal Express or Express mail to the return address listed on the instruction sheet that accompanies the scope.  These scopes are sent out as a courtesy and we ask that they be returned to us in a timely manner so that other clients may view the Hearts & Arrows pattern within their new puppies.  If you wish to purchase the scope, simply mail a check payable to Nice Ice for $150.00 and mail it to the return address listed for the scope.  We import these puppies from Japan, so believe us when we say we'd rather have the scope back than the money.  We'll be happy to loan you another scope at any time in the future when you have the diamond dismounted to upgrade the mounting or something.
   

• The Enclosed Documentation will include a copy of your internet invoice; two copies of the appraisal for insurance purposes (if the diamond is a Hearts & Arrows then our photo of the actual pattern will will appear on the appraisal - you can also right click on the H&A image for the diamond that appears in our Private Reserve listing and save it to your hard drive for later use); two copies of the diamond grading report; and the original diamond grading report.  We usually have the original diamond grading report in our possession, but if a copy of the report appeared when you clicked on the Private Reserve listing then we only have a copy and will request the original from the cutter upon verification that you are keeping the diamond.  Why would we only have a copy?  Because the cutters trust us more with the diamond than they do with the paper.  They will issue the original when we notify them that we are keeping the diamond.

Mounted Diamonds - everything is basically the same as outlined above for loose diamonds, except that your ring will be set into a black or white ring box (2" x 2" x 2") that is set within a black or white packer box that has the same white trimmings on it. Yes, it also has the easy on / easy off slip-on ribbon.  The appraisal?  Yes.  And if the center stone is a Hearts & Arrows it will have pictures of the pattern as well.

What about Payment Procedures?

International Transactions: Payment for diamonds being purchased from or shipped to any destination outside of the United States or Canada is only accepted by bank to bank wire transfer or PayPal eCheck, we do not accept payment via credit card for international transactions, please don't ask us to make an exception, it will only result in our awkwardly telling you no.

Bank to Bank Wire Transfer is the simplest, easiest, and least expensive method of payment.  Once we have provided you with a breakdown of the total cost, we will email or fax you a set of wire transfer instructions that provides your bank with all of the information that they need to initiate a wire transfer on your behalf.  Simply take the form to your bank first thing in the morning and tell them you want to send a "Bank Wire Transfer for $ payable to Nice Ice, Inc. and they'll hop right on it. Call us or drop us a note at diamonds@niceice.com when you've completed the wire transfer and we'll call our bank's service center around noon to check their "catch" to see if the wire is peeking through. Remember our time zones may be different.  Remember what it was like it was when you first called us from your office at lunch time and we were still on B.C. time... that's "Before Coffee" and trying to function. Once we've been informed that the wire is coming into our bank's processing system, we will prepare your puppy for overnight shipment.  Just so you know, we won't have access to the funds until the next day right about the same time you will be receiving your new puppy. Remember, the key to a successful wire transfer is to attack your bank in the morning, so you can have your puppy the next day.  Wire transfer instructions will be provided to you via email when the time comes and all you'll need to do is walk into the bank, hand the teller our instruction sheet and say "here, I need to do this".  According to a customer of ours who works at the Federal Reserve, it only takes 20 minutes for the funds to be transferred from your bank, pass through the Federal Reserve and be deposited to our account.  All of the time in between is caused by our banks floating on your money.  Note that many banks accumulate outbound wire transfers throughout the day so be sure to ask your bank representative whether the wire transfer request you initiate at 9:05 in the morning is not going to be processed by their clerk until 2:30 in the afternoon, because if it is, you're going to be waiting for your puppy for yet another day!  The banks are certainly capable of initiating a wire transfer immediately upon completion of the request, our local branch of Wells Fargo Bank is capable of processing our outbound wires for diamond purchases immediately.  Don't allow the bank representatives of your bank to be lazy with your money, after all they are supposed to be working for you.

PayPal is a safe, secure, payment solution that enables you to complete your purchase using a variety of payment methods including "ACH" electronic funds transfer (eCheck), bank-to-bank transfer and credit card.

To be honest, we think that PayPal is more frustration than it is worth, however we offer it as a payment option for those of you who are more comfortable using PayPal than initiating a wire transfer.  In order to qualify for the "wire transfer / cash discount" price specified on our Private Reserve, payment via PayPal must be initiated using the ACH eCheck option.  Credit Card transactions processed through PayPal still result in merchant fees and thus the standard price for the item still applies.

While the ACH eCheck payment option is promoted as being "instant" by PayPal, it takes approximately five business days for the funds to actually be deposited to our account.  Your purchase will not be shipped until we have received the actual deposit of your funds to our account because PayPal ACH eChecks can be cancelled mid-stream.  Thus if you would like to receive your purchase within a reasonable time period of initiating payment, we suggest a standard bank wire transfer which will cost between $10.00 and $30.00 depending on the relationship you have with your bank and which will deposit to our account within 20 minutes of your bank actually initiating the wire transfer.  Does the small expense of a wire transfer outweigh the anxiety of waiting five days for PayPal to process your eCheck? We certainly think so, however if you still want to use PayPal as a payment option, then we're happy to wait along with you.  We suggest setting up your PayPal account as early as possible to allow PayPal ample time to confirm the validity of your bank account so that your account will already be approved when you're ready to make a purchase.

Please note that you can not pay with a credit card on PayPal and send us an ACH eCheck, it requires a cash withdrawal from a checking account that has been approved by PayPal.

Please note that ALL merchandise paid for by credit card or PayPal requires the use of our Credit Card Authorization Form which must be signed in the presence of a notary public.  Merchandise purchased using a credit card will ONLY be shipped to an actual Staffed Federal Express Location where a signature and valid drivers license will be required for pick-up.  Delivery of the package will be restricted so that only the card holder may sign for the package.  We will not ship to the billing address for the credit card account, nor your place of employment.  You can thank the little cyber punks for this, they like to steal your credit card, test the card by buying ten dollars worth of candy bars at the local Stop & Rob and then venture forth to plunder cyber space until they reach your credit limit or you report the card stolen.  The problem with delivering to the billing address on file is that the little punks wait up the street from your address playing a game of stick ball and waive down the delivery vans just short of your house and ask for "their package" since they're not at home.  Bastards!  So here's the deal, we're not thrilled with taking your credit card, in fact, all of the on-line diamond dealers are doing what we can not to accept them at all.  If you want to / need to complete your transaction with a credit card, expect to jump through some hoops and know that all of this is set up for the protection of honest people everywhere.

Note that we only accept credit card payment via PayPal from "confirmed accounts" which means that you must "verify" your identity with PayPal by having them verify the validity of your checking account and your credit card from within the members area.  Being "accepted" by PayPal in terms of establishing an account is not sufficient for obtaining credit card approval through PayPal for transactions pertaining to our account and many other high dollar transaction amount merchants who require additional verification for security reasons.  We reserve the right to refuse payment via PayPal or by any other means without explanation if fraud is suspected.

Credit Card Payments using your Visa, MasterCard, American Express or Discover Card:

If you wish to earn extra air miles, or take advantage of having the float provided by your credit cards, or feel more comfortable using your cards for security purposes, that's fine with us.   However since we can't  "swipe" your card through the Verifone machine supplied by our bank to electronically process the transaction, we require a signed and notarized credit card authorization form on file before we can process your order along with a copy of your valid drivers license.  Contact our office and we will be happy to fax or email you a Credit Card Authorization Form.  Once you have completed the form and had it notarized, fax it back to us at (503) 296-2221 for processing and mail us the original for our records.

"Hmmm, what is a credit card authorization form?" you ask. Essentially it is a hybrid of the credit card slip that you sign every time you make an in-store purchase with a credit card.  Except since we're not conducting this transaction face-to-face the only way for us to verify that you are the card holder is to have your signature witnessed by a Notary Public who has the capability of verifying your identity.  The Credit Card Authorization Form contains your billing information and credit card numbers required by our bank to process the charge. It specifies the amount of the transaction. Authorizes us to charge your account for this one (1) time for the amount specified and proves to the issuing bank that you are the cardholder and that your mug matches that handsome fellow on your driver's license and that the name on your driver's license matches the name on the card. In other words, it verifies that you are the real card holder initiating this purchase and not some cyber punk who has stolen your credit card or some bartender who is working off of the information provided by the carbons you left behind at some restaurant.  Whoops!  It protects all of us from fraudulent credit card use and enables us to continue accepting credit cards for on-line transactions.  It is also extremely helpful if you telephone your credit card company and notify them that we will be making a charge to your account for the amount specified on the credit card authorization form. Their fraud division just loves it when we key in a several thousand dollar transaction from Roseburg, Oregon the same day you use your credit card to buy lunch in your home town. Yes they do, and they will call you at home and tell your fiancée all about it if you don't call them first. Believe it. We've seen it about a dozen times.

Once we are in possession of your signed and notarized authorization form, we can call in your credit card  information and place the charge. Our bank will play telephone tag with your bank and then eventually provide us with an authorization and sequence number (meaning that the charge has been verbally or electronically approved).  We also contact the Notary Public and verify their valid license and presence in their state of business.  Then we will process your little puppy for overnight insured travel to it's new home. After we receive the auth. # and the sequence # and complete the charge transaction, we will have access to the funds in approximately 2 business days, but you will have already received your new best friend!

Please note that merchant fees apply to "Debit Cards" just as they do to credit card transactions and thus they are considered to be the same "animal" to us.  Unfortunately, we can not accept credit card "super checks" or "cash advance checks."  Our bank has experienced difficulty with these checks and has explained to us that the card holder can place multiple charges instantly on his card long before the merchant can get the check and drive it to the bank, rendering it useless.  They also take just as long to process as a regular check and during that process time if you over charge on your card or turn it in as a stolen check. Guess what, that's right, they bounce loudly.    Many of these checks do not have the credit card information on them, so our bank has to do a little research and then if they can, place a hold on these funds by obtaining a telephone authorization and we then get hit with the 3.25%  for the process to guarantee payment. So, if you wish to use them, see if your bank will let you use them for your wire transfer by depositing the check to your account and then wiring the funds to us from it.

Please note:  We do not accept personal checks, business checks, payroll checks, welfare checks, food stamps, Lotto checks, out-of-state checks, wheat chex, cash advance / credit card checks, cashier's checks, or any paper other than cash, but if you can use them to fund your wire transfer,  more power to you.  We don't take checks.  That last bit of punctuation was a period, as in "we don't take checks PERIOD! so please don't ask.

We are unable to authorize your credit card for a "deposit" without initiating a charge on your account.  "Deposit" services are reserved for rental agencies [like car rental agencies] and those companies using this service for diamond sales are doing so in violation of their agreement with Visa, MasterCard, Discover and American Express.  We asked and these services sternly warned us not to do so at the risk of losing our merchant account.  Sorry.

I've Got it... Now What Do I Do?

Well, after you calm down and stop shaking at the mere presence of the magnificent little beast you'll have twenty one (21) days to play with him and decide to keep him as stated in the terms and conditions of our Satisfaction Guarantee. Of course you'll be ogling , playing, and admiring him all the while, but you will also want to take him to visit an Independent GIA Graduate Gemologist (G.G.) or AGS Certified Gemologist Appraiser (C.G.A.) who has successfully completed the GIA and/or AGS programs for diamond grading, etc.  You can find such animals in the yellow pages if you dare to unleash your fingers for yet another walk on this diamond project...  Or here on our web site and on-line at http://www.appraisers.org  Look for one that has the words "Gems & Jewelry" next to their name and who does not have a jewelry store name under theirs if you want them to be impartial... By the way, the words "Impartial" and "Independent" go together. An appraiser is "Independent" if they do not work for a jewelry store where they are being paid by the store to aid in selling diamonds that the store has in inventory. If you want an honest evaluation of the diamond, take it to somebody that has nothing to gain by selling you a diamond... Duhhhhhhh!  Once you find this critter and make an appointment with him, be sure to bring a copy of the lab cert along with you so that "he/she/it" can perform the duties of their job description and verify the characteristics of the diamond to it's pedigree and put your mind at ease that you were truly sent a real diamond with papers to match.  Of course, we know that you won't show the poor Gemologist the laboratory certificate right off the bat, cuz you'll want to test his expertise against the opinion of the very organization that probably trained him. We know that you'll make him study the diamond feverishly until he confesses the clarity, color, and fluorescence. But when it comes to cut and proportion, remember that the laser is far more accurate than the eye, so show him the AGS report or the label from the Sarin Machine that show the laser's reading for the degrees and angles for the stone.   Odds are he doesn't have a Sarin Machine and will have to estimate the crown angle and pavilion depth if you don't,  so be a pal and give 'em a hand by allowing   him to "verify" the percentages. From there, let nature take it's course and drop us a note A.S.A.P. telling us all about how surprised the appraiser was that you found such a diamond on the internet.
